The IRS requires employers to use Forms W-2 to report wage and salary information for their employees, as well as the amount of federal, state, and other taxes withheld from each employee’s paycheck. Employees then use this form to prepare their annual tax return.

The 2025Form W-2will be mailed, as required by law, by February 2, 2026, to the addressG&A Partnershas on file for you as of December 31, 2025.

The address on your W-2 cannot be changed once it has been generated with the address on file as of December 31, 2025.

If you register to receive your W-2 electronically before December 31, 2025, you will  NOT receive a mailed copy. Instead, it will be available for download in the same online system you use to view your pay stubs.

2025 Forms W-2 will be mailed, as required by law, by February 2, 2026, to the address G&A Partners has on file for you as of December 31, 2025. The address on your W-2 cannot be changed once it has been generated with the address on file for you as of this date.

If you would like to verify the address that was on file for you as of December 31, 2025, please contact AccessHR.

If your address was not updated in our system as of December 31, 2025, you will not be able to have another copy of your W-2 mailed to a different address. You will instead need to download an electronic copy using the same online system you use to check your paystubs.

To request an SSN update, please email us at accesshr@gnapartners.com or call 1-866-497-4222. Provide your full name and employer's name to receive a secure link via email, where you can securely upload a copy of your Social Security card.

Requests received after December 31, 2025, for updates to the SSN on Forms W-2 will need to be processed as corrections.

Box 1 of the W-2 form only includes gross wages that were taxable by federal income tax. Any reimbursements or pre-tax deductions are not included in that total. Common pre-tax deductions include 401(k) contributions and any insurance plan that is marked “125” on the Deductions section of your paycheck stub.  

To confirm Box 1, you can compare that amount to the total gross wages on your final paycheck stub for the year. The difference between the two amounts should equal the total of your reimbursements and pre-tax deductions. 

Every company you worked for in 2025 is legally required to send you a W-2. If you were employed by more than one employer in 2025, you will receive a W-2 from each employer. There are a few exceptions to this rule, such as:

  • If you were employed by two “sister” or related companies that are both clients of G&A Partners, your earnings for both companies will be combined on one W-2.
  • If your company was a client of an HR company or PEO acquired by G&A Partners in 2025, you may receive two Forms W-2 on behalf of your employer: one from G&A Partners, and one from your employer’s previous HR/PEO provider.
  • If you changed work states in 2025, you may have been reported as an employee of a different G&A PEO entity. In this situation, you would also receive more than one W-2.

If you are an independent contractor and are not an employee of the company for which you have performed services in 2025, you will receive a Form 1099-NEC, not a Form W-2. Forms 1099-NEC will be mailed by February 2, 2026, to your address on file in our system.

Unlike Forms W-2, Forms 1099-NEC are not available online. Per current regulations, IRS copies of 1099-NEC forms will be submitted electronically to the IRS on behalf of the client company you are contracted with. G&A Partners will make available PDF copies of mailed Forms 1099-NEC to the client company upon request within two weeks after their mailing. If you need a replacement copy, please contact your company and they can produce a copy of the PDF for your files. You should also contact your company directly with any questions about the information on your Form 1099-NEC.

Due to legislative changes in 2024, employers are no longer required to mail Form 1095-C to employees. As a result, G&A Partners will provide your 1095-C electronically via WorkSight, G&A’s online self-service portal. Your form will be available electronically via WorkSight on or after March 2, 2026. Once the form is available, you can access it by downloading these instructions or following the steps below:

  • Log in to WorkSight.
  • Click “Go to PrismHR” link within the Employee Portal tile.
  • Select “Taxes” on the toolbar to the left and select “1095-C.”
  • Using the dropdown menu, select the desired year for your form, and click the download button. The form will be downloaded to your device or computer.
